Santa Fe Rotary Club Sergeant of Arms Tasks and Responsibilities

 

The Sergeant of Arms and/or the assistants to the (SofA will be available at least 15 minutes prior to the meeting (30 minutes preferred) to review the meeting room set-up latt eppsand to insure that the following activities are completed prior to and immediately after the meeting:

 

  • The Sergeant of Arms will assure that the podium is in place with the bell at the head table and that the sound equipment is being set up and microphones are in place. (The A/V committee will be in charge of the audio, microphones and visual equipment set up and take down.)  Check to see that the hotel has placed the flags and hung the Four Way Test banner and club banners are on the wall.  If any of these items are not in place, talk to hotel personnel in charge and if necessary inform the Club President.
  • Make sure that the two bottles of wine are available for the drawing. Usually placed with the Club Secretary.
  • The Four Way Test and Club welcome song cards will be placed on tables along with any hand outs for the meeting (from the speaker or club officers).  (These items are packed with the badges and the SofA will be retrieve them after the meeting and placed with the sign-in table materials for storage.)
  • After the Luncheon meeting (1) collect the welcome song cards from the tables and (2) collect any badges that are not returned to the boxes (members sometimes are in post luncheon meetings or discussions). 
  • Insure that all materials are ready to be stored by the hotel staff, i.e. audio/ visual equipment is boxed and stacked, badge boxes are closed and all sign-in materials are boxed and stacked for the hotel staff to store.
